Job Description

We have an opening for an Office Manager that will oversee the daily administrative operations of a construction office in Costa Mesa.

This role manages office logistics, regulatory documentation, subcontractors' compliance and financial document processing while maintaining accurate records and supporting project operations.

Key Responsibilities:

Manager day to day office operations

Maintain office supply inventory including snacks, beverages, cleaning supplies and paper products

Conduct regular inventory check and order office supplies through approved vendors

Coordinate office maintenance services including cleaning crews, ice machine servicing and water filtration systems

Maintain vendor contract information and service relationship for office maintenance providers.

Document Management and Compliance

Manage and organize company documentation including contracts, certificates, licenses, and compliance records

Maintain physical filing systems

Manager COIs for subcontractors including General Liability, Auto and Workers Compensation

Track expiration dates and request updated certificates from subcontractors when necessary

RedTeam Go is a plus

Manage and renew business licenses

Skills

3 recent administrative office management experience (construction industry preferred)

Construction background- office setting

This will be working in the corporate office setting

Must have experience working with construction contracting or project-based business

Familiar with subcontractor compliance, lien documentation and preliminary notices.
